A Service User is a special type of user account, similar to an external client or employee, but reserved for Podio Support and trusted Partners such as Orion Soft Sol.
This allows you to give your Partner or Podio Support team access to your workspaces without paying for an additional seat.
The Service User can help build workflows, automations, or troubleshoot technical issues directly within your workspace.
💡 Note: Service Users appear as “Service user” in your member list and do not count toward your paid employee licenses.
To add a Partner (for example, Orion Soft Sol using podio@orionsoftsol.com):
Navigate to the workspace where you want to give access.
Click the âž• INVITE button at the top-right corner and select Clients.
In the email field, type your Partner’s address (for example,
podio@orionsoftsol.com) and click Add.
This will give them access to the workspace as a client member.
However, one more step is required to allow them to configure workflows and automations.
Click the wrench icon ⚙️ at the top of your workspace.
Select Manage Members.
Locate your Partner in the member list.
Click the Actions dropdown beside their name.
Select Make Admin.
Once made Admin, your Partner can:
Create or edit Workflow Automations (Globiflow).
Manage workspace settings.
Support you in system configuration.
You’ll notice their name includes the “Service user” tag — confirming it’s a free Partner seat.
To remove a Partner or Service User from a workspace:
Click the wrench icon ⚙️ and choose Manage Members.
Find the Partner (e.g., podio@orionsoftsol.com) in the list.
Click the Actions dropdown beside their name.
Choose Remove from Workspace.
If the Service User has access to multiple workspaces, repeat this step for each one.
